Version 1.0 of PracticeAxis is about to be released!As one of our earliest adopters, you’ll receive hands-on support and training on how to optimize your intake process as you start using the CRM to streamline, save time, and pull reports to help you scale.Throughout the program, we will be optimizing as well: You’ll provide constant feedback and our team will be “all ears” so you’ll have the chance to witness updates to the system in real time.Most importantly, you will be setting up an effective intake process that includes a hybrid of automation and human touch that empathizes with your prospective and current clients’ experience.
Private Beta Program Overview
#1 Your Client Journey Navigator “SOP Manual”
We’ve mapped every milestone that all prospective clients go through to become a new therapy client. You’ll receive a customized Client Journey Navigator for your practice, documenting every step of the intake process in PracticeAxis which can be used to train current and future staff in the roles of client care coordinator and biller.
#3 Subscription to the PracticeAxis CRM
The program includes a subscription to PracticeAxis and all its features during the 8-week program for up to 3 users at your practice. One user seat includes a unique user name and password for that team member and the ability to assign tasks and send direct email messages to that team member. Typically a user account is assigned for the Practice Owner, Biller & Client Care Coordinator.
#2 Hands-On Training, Set-Up Support and Coaching
Software tools are only helpful in combination with best practices and greater understanding of the “why” behind every client interaction. In weekly Q&A’s and videos, we break down the intake process into 5 phases. Participants learn how to use the CRM while also learning business development strategies that serve the health of the practice and the client. We encourage discussion and swapping ideas with other practices in each group.
#4 Reporting Insights to Track Trends & Scale
You will identify key performance indicators, such as “% of new inquiries who scheduled an intake session but never showed up” to measure growth and performance at your practice. Participants are trained on how to pull reports regularly so you can leverage the data to make important decisions for your practice. This includes but is not limited to: Top referral sources, frequently requested clinical needs and time slots, and your cost per customer acquisition.

The Private Beta Program is 8 Weeks and will cover training on workflows for all five phases of the intake process, which can be viewed here. By Week 5, your staff will start implementing the system at your practice with our support.Our current cohort will begin training on best practices in December and will begin the 8-week onboarding process in the first week of January 2023 and end in the last week of February 2023.

Why is PracticeAxis only available in Private Beta?
We are only onboarding a few practices at a time to ensure that they are fully supported as they begin to use our platform and to gather your feedback to optimize our platform. You’ll have influence over the direction of the product as it evolves.
Who should participate?
This program is designed for Client Care Coordinators and Practice Owners. Therapists will not use the CRM. Billers and Client Care Assistants are welcome to participate but can easily be trained using our SOP Manual and videos.
What happens after the program?
During the program, your staff will begin implementing the CRM at your practice. By the end of the 8 week program your staff will have all the resources you need to continue using the CRM. To continue, you will sign up for a month-to-month subscription for our platform and we will remain available for technical support and customer service.
